Full-time Data Manager (Temporary) – Catholic Charities of Southeast Texas

Catholic Charities of Southeast Texas is seeking to fill the position for a Data Manager.  This full-time temporary position will work with the President/CEO and all programs operated by Catholic Charities of Southeast Texas to ensure the accuracy and validity of all program data.  This person will assist the President/CEO in ensuring programmatic compliance with data and recordkeeping requirements.  Work cooperatively with President/CEO to protect and maintain accurate centralized agency service delivery statistics for reporting.  Keep management apprised of software provider issues, trends and cost implications.  Review all contracts and grant agreements to assure data elements needed to report on grant deliverables are established and activated. Develop and maintain report schedule to assure all deadlines are met in a timely manner.  Provide initial and on-going trainings to staff on all data collection instruments (Client Track, LawLogix, CAN, DART, CPR, Excel, Access, etc.)  Work with program leads and staff members to ensure complete and accurate data collection and maintenance.  Audit electronic and physical client files and report any noted discrepancies (ex: unsigned forms, incomplete forms, missing forms, etc.) and work with staff to resolve issues.  Formulate techniques for quality data collection to ensure adequacy, accuracy and validity of data.  Monitor programmatic outcomes through established indicators and outcomes; assist programs with compilation of data for Program Scorecards. Work with President/CEO and program staff to identify and develop revisions to indicators and outcome measures as needed to enhance program effectiveness.  Ensure the consistency of program data across sources including client files, all applicable software applications, and Excel.  Work with staff and program leads to resolve any inconsistencies in client data across sources as described above.  Assist staff when necessary with contacting clients to resolve missing or inaccurate data issues.  Ensure all files are maintained in accordance with applicable laws, contracts, agreements, grant guidelines, and other funding requirements.  Develop efficient system of record storage, retention and tracking in compliance with applicable laws, contracts, agreements, grant guidelines, and other funding requirements.  Assist President/CEO with preparation of reports and data extraction needed for programmatic audits/site visits/compliance reviews, reports to Board Committees, and all other programmatic reports.  Ensure for the confidentiality of all client data.  Performing other duties as required by President/CEO and/or Program Leads, such as preparing for, attending and/or supporting special events and projects.  Examples include: assisting with outreach activities, participating in staff retreats, United Way or other Funders’ visits, agency fairs and speaking engagements, as deemed applicable.

Bachelor’s degree required.  Excellent computer knowledge and experience.  Must be proficient in MS Office especially Excel and Access.  Good written and oral communication skills.  One year previous related/similar work experience, preferred.  Knowledge of HIPAA privacy and security regulations and appropriate handling of Protected Health Information (PHI).  Demonstrated sensitivity to diverse cultures.  Must have adequate/available and reliable transportation.  Annually, the employee must provide a copy of their valid Texas Driver’s License and proof of personal automobile insurance to the Administration Office.

Part-time Market to HOPE Stock Clerk – Catholic Charities of Southeast Texas

Catholic Charities of Southeast Texas is seeking to fill the position for a Stock Clerk.  This part-time temporary position will be responsible for assisting with the replenishing of items to the pantry from the warehouse, curbside delivery of groceries into clients’ vehicles. Select and gather products to pack grocery carts after reviewing daily cart items with Program Associate or Director.  Transport packed carts to clients’ cars in accordance with guidelines provided.  Assists the Program Associate or Director with organizing the pantry or warehouse areas.  Maintain compliance with food handling requirements as established by USDA, state, county, and city health departments, and the Southeast Texas Food Bank.  Ensure rotation of warehouse and pantry stock as appropriate using the first in, first out (FIFO) method with the exception of short dated inventory that should be distributed before product expiration. May support Program Associate and Director with inventory management to include preparing lists of items needed, counting inventory, organizing storage in warehouse (pallet racks, coolers, and freezer) and market (shelves, coolers, bins), posting needed signage so that merchandise is easily stored and located, complete warehouse and store resets in accordance with food safety requirements. With oversight and guidance from the Program Director, may receive and store deliveries and donations; unload delivery trucks and various donations throughout the day. Maintain all Feeding America, Southeast Texas Food Bank, USDA, and public health department requirements and guidelines.  Obtain Civil Rights and Food Handler (Learn2Serve) training within 30 days of hiring and maintain thereafter.  Attend periodic training or workshops as needed and relative to the position.  Perform other duties as required by the Program Director, Vice President of Programs, or President/CEO, such as preparing for, attending and/or supporting special events and projects.  Examples include: assisting with outreach activities, participating in staff retreats, United Way or other Funders’ visits, agency fairs and speaking engagements, as deemed applicable.  The Market to HOPE Clerk serves clients of all religious, racial, ethnic, and cultural backgrounds.

  • Background in grocery store or warehouse inventory/merchandising or related experience.
  • Ability to lift 50 pounds numerous time throughout the day, and occasionally lift 60-100 pounds with or without assistance. It is the responsibility of each individual to never lift beyond his or her own safe lifting limit. If an item is too heavy to lift, push or pull, and / or carry, the employee must break the box down into lighter, smaller, more manageable components, or ask for assistance from another employee or volunteer.
  • Civil Rights Certification and Food Handler’s Certification or ability to obtain these certifications within 30 days of employment.
  • Ability to work evenings and weekends.

Responsibilities include grant writing and reporting, special events coordination, and the production of external printed materials, newsletters and cultivation of media contacts. Researching, identifying and actively pursuing sustainable funds through private foundations, government grants, corporate philanthropy, and charitable entities.  Administer existing grant reporting requirements within appropriate deadlines, while working in tandem with staff across the organization in coordination of events and grant proposals, and supports Program Directors in the development of resources for program services.  Works with Program Directors to establish and monitor fiscal year grant plan.  Works with President/CEO to develop annual Grant Revenue Plan, inclusive of anticipated renewable and targeted funding sources to generate budgeted revenue.
